How To Get Archived Emails In Gmail

In Gmail, you can select multiple emails and apply an action (like archive) to all of them at once. We'll show you how to select all emails and specific emails by their status in Gmail's web version.

There are many reasons to make a multiple email selection in Gmail. Maybe you want to archive all your unread emails. Or, maybe you want to forward all your emails as an attachment to someone.

You can select all emails in Gmail's web version, which you can access from your Windows, Mac, Linux, or Chromebook computer. Gmail's mobile app for iPhone, iPad, and Android doesn't allow you to select all emails at once.

How to Select All On-Screen Emails in Gmail

One selection type is to select all emails that are displayed on a single page in Gmail.

To do this, first, launch Gmail in a web browser on your computer. Log in to your account if you aren't already.

On the Gmail interface, from the sidebar to the left, select the folder in which you want to select emails. This can be any folder listed in the sidebar (including "Inbox," "Snoozed," "Sent," and "Spam.")

The emails from your selected folder will appear to the right of the folders list. From the toolbar at the top of these emails, select the "Select" (a square icon) option. This is the first icon on the toolbar.

Click the "Select" option on Gmail.

Gmail will select all emails displayed on the current page. At the top of these emails, you'll see a message that says "All X Conversations on This Page Are Selected," where "X" is the number of emails that are selected.

And that's how you select all your on-screen emails in Gmail!

To select more emails, change an option in Gmail's settings so that it displays more emails on a single page. To do this, from the top-right corner of the Gmail site, select the "Settings" (gear icon) option.

Click the "Settings" option on Gmail.

In the "Settings" menu, from the "Quick Settings" section, choose "See All Settings."

Select "See All Settings" from the "Settings" menu on Gmail.

Gmail will display your full account settings. Here, at the top, click the "General" tab.

Click "General" in "Settings" on Gmail.

In the "General" tab, click the "Maximum Page Size" drop-down menu. Then choose the number of emails that Gmail should display on a single page. You can choose 10, 15, 20, 25, 50, or 100.

When you've made a selection, scroll down the "General" tab page and click "Save Changes."

Click "Save Changes" in "Settings" on Gmail.

Gmail now shows your selected number of emails on a single page. To select all these on-screen emails, use the same "Select" option that you used above.

How to Select All Emails in Gmail

Gmail also allows you to select all your emails and not just the ones displayed on a single page.

To make this selection, from the left sidebar on the Gmail site, select the folder in which you want to select all emails.

At the top of the emails list, from the toolbar, select the "Select" (a square icon) option.

Click the "Select" option on Gmail.

Gmail will select all your on-screen emails. To select emails that are not displayed on the current page, from the top of your emails list, click the "Select All X Conversations in Folder" option (where "X" is the number of emails that are in your selected folder).

Select "Select All X Conversations in Folder" on Gmail.

And that's all. Gmail will display a message that says "All X Conversations in Folder Are Selected," which confirms all the emails in your chosen folder are selected.

How to Select Emails by Their Status in Gmail

With Gmail's advanced selection feature, you can select emails that have a certain status. For example, you can select all unread or read emails in your account.

To use this feature, launch Gmail and choose the folder in which you want to select emails.

At the top of your emails list, right next to the "Select" option, click the down-arrow icon.

You'll see multiple options to select your emails. Choose an option from these:

  • All: This selects all on-screen emails in your current folder.
  • None: This deselects any selected emails in your current folder.
  • Read: This only selects your read emails.
  • Unread: This selects your unread emails.
  • Starred: This selects the emails that you have assigned a star.
  • Unstarred: This selects all emails that you have not assigned a star.

And Gmail will only select the email type you choose!

What Can You Do with Selected Emails?

Once you select emails in your Gmail account, you can apply various actions to them. These actions are available at the top of the emails list.

The available actions are:

  1. Archive: Use this to archive all selected emails.
  2. Report Spam: This marks your selected emails as spam.
  3. Delete: This deletes your selected emails.
  4. Mark as Unread: Choose this to mark selected emails as unread.
  5. Snooze: Select this to snooze your emails.
  6. Add to Tasks: This creates a task for your selected emails in Google Tasks.
  7. Move To: Choose this to move selected emails to a folder.
  8. Labels: Use this to apply a label to selected emails.

Next to the "Labels" option, there are three dots that you can click to open the "More" menu. This menu has more actions you can perform on your emails:

  1. Mark as Read: This marks selected emails as read.
  2. Mark as Unread: This marks selected emails as unread.
  3. Mark as Important: Marks selected emails as important.
  4. Mark as Not Important: Marks selected emails as not important.
  5. Add Star: Assigns a star to selected emails.
  6. Filter Messages Like These: Finds emails that are like the selected emails.
  7. Mute: Use this to mute selected emails. This way, Gmail won't notify you of responses to the selected emails' threads.
  8. Forward as Attachment: This lets you forward selected emails as a .eml attachment file.
